Making external calls with Microsoft Teams
In today’s digital working world, effective communication is key to the success of your company. Microsoft Teams has established itself as one of the leading tools for online collaboration, but did you know that Teams can be used for more than just video conferencing and chat functions? In this article, we take a closer look at how you can also make external calls with Microsoft Teams and how you can effectively integrate this feature into your business communications.
Basics of external telephony with Microsoft Teams
Microsoft Teams offers a variety of features for internal communication within companies. One feature that many are already familiar with is Voice over IP calling, which allows you to easily call team members within the company by simply selecting them from your contacts and starting an audio call. However, these calls do not go through the public telephone network, but rather serve as a kind of “intercom” within the company.
But what about external calls? This is where the ability to connect Microsoft Teams to the public telephone network comes into play. This allows team members to easily make external calls through the program, without the need for additional hardware.
Options for connecting to the public telephone network
There are essentially two ways to connect Microsoft Teams to the public telephone network: Using a SIP trunk (IP-based connection to the public telephone network), it is possible to connect Microsoft Teams to the telephone network using direct routing. To do this, you first need a provider for an IP-based telephone connection. Alternatively, you can also connect your Teams devices to the public telephone network by booking Microsoft calling plans in order to make external calls via Teams.
The PBX and calling plans are provided by Microsoft and allow users to be assigned phone numbers and use all the phone network services. This is a good option for companies that prefer a simple solution without additional hardware.
Direct routing, on the other hand, is often preferred by larger companies. It connects an existing telephone network connection, for example via a cloud telephone system, to Microsoft Teams. This allows companies to continue using their existing telephone system and can also manage the Teams devices in the telephone system settings.
purchasing a calling plan
In order to make external calls with Microsoft Teams, you must purchase an add-on to the Microsoft Office 365 plan. In this case, telephony runs directly through Microsoft. Call plans are made available to each user on a monthly basis and consist of a telephone number and a quota of minutes. Microsoft acts as your telephone provider, ports your telephone numbers and establishes the connection to the public telephone network. The disadvantage of this option, however, is that it is not available in all countries and is a rather expensive affair. In addition, complex call management and thus functions such as call forwarding are not possible.
Setting up phone numbers in Microsoft Teams
After the relevant licenses have been activated, phone numbers must be added for users. This can be done in several ways: through the Teams admin center. By importing numbers from a previous phone provider, or through Direct Routing.
It is important to note that in addition to user phone numbers. Toll-free numbers for audio conferencing, call queues. Or automated attendants may also be required. These can either be obtained from the Admin Center or supported by the Direct Routing provider.
making external calls
Once you’re set up to make external calls with Microsoft Teams. You can easily make external calls using the Microsoft Teams interface. Simply select the “Calls” option. Enter the name or external number of the person you want to call. And start the call.
Display office number for outgoing calls
You can continue to make calls using your office number via Teams. The Microsoft Teams client helps you handle all outgoing calls via your mobile phone or other devices. It basically takes on the role of a conventional Teams user and also that of the device for outgoing calls.
Forward external calls to office number to Teams
External callers can reach you using the number you know. It therefore doesn’t matter whether you are in the office or working from home. Calls from colleagues who are on vacation or after work can be forwarded to your Microsoft Teams client. You can answer incoming calls immediately; the caller won’t notice any difference.
